Description:
We are seeking a reliable and detail-oriented freelancer to support our project team in Germany with administrative and documentation tasks related to façade construction projects. The position involves a combination of bookkeeping support, legal and technical documentation handling, claim translation, and communication with suppliers and public authorities. Experience in legal construction documentation, insurance-related reporting, and bookkeeping is essential.
Key Responsibilities:
- Support in basic bookkeeping tasks, such as invoice tracking, organizing receipts, and entering data (experience with Sevdesk or DATEV is a plus).
- Upload technical documentation (TP documents) to our internal platforms, primarily Thinproject.
- Translate and format claim-related documents, based on English originals or machine-translated German versions, into professional documentation suitable for submission to clients or legal advisors.
- Prepare and format damage reports for insurance purposes, using photos, site notes, marked-up drawings, and other inputs from the technical team. Reports must meet professional and insurance standards.
- Communicate with suppliers via email to request missing or incomplete documentation.
- Contact social security institutions or relevant public authorities (e.g., tax offices, chambers, etc.) by phone or email when required for clarifications or compliance-related tasks.
- Ensure that all documentation is properly filed, traceable, and legally compliant.
Requirements:
- Proven experience with legal and technical documentation in construction, engineering, or related sectors.
- Familiarity with bookkeeping and accounting workflows; knowledge of German accounting systems and invoice documentation is a strong advantage.
- Proficiency in MS Office tools (Word, Excel, PDF); experience with Thinproject or similar documentation platforms is preferred.
- Excellent written and verbal communication in German (native or C1); ability to manage English correspondence (B1–B2), especially for claims and insurance documentation.
- Structured and detail-oriented working style with a high sense of responsibility and confidentiality.
- Understanding of German construction law and procedures (e.g., VOB/B, BGB) is highly valued.

- Part-time position
- Estimated workload: 15-30 hours/week (depending on project phase)
- Flexible working hours; occasional availability during Central European business hours preferred
